Summary of Position:
Responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, along with sorting and distributing mail
 
 
Roles and Responsibilities:
 
  • Answer phones
  • Route calls to specific people
  • Answer inquiries about company
  • Greet visitors warmly and make sure they are comfortable
  • Call persons waiting for visitor
  • Ensure reception area is tidy
  • Coordinate mail flow in and out of office
  • Hand out employment applications
  • Send email and faxes
  • Collect and distribute parcels and other mail
  • Perform basic bookkeeping, filing, and clerical duties
  • Take and relay messages.
  • Be willing to help with any extra duties in office
  • Assist in the ordering, receiving, stocking, and distribution of office supplies
  • Assist with other related clerical duties such as scanning, faxing, and photocopying
 
Qualifications and Requirements:
 
  • Solid computer skills such as typing and navigation through various computer programs including MS Outlook, Excel, and Windows
  • Must be able to type at least 50 WPM
  • Great verbal and written communication skills
  • Compassionate and patient customer service skills
  • High attention to detail
  • Active listening skills
  • Sitting at desk – 90% daily
  • Standing or walking – 10% daily (may require more infrequently)
  • Ability to learn and think quickly
  • Energetic, outgoing, and positive attitude
  • Good organization skills
  • Reliable and dependable
  • Team-player
  • Ability to prioritize and mange time
  • Regularly required to talk and listen; sit; stand; walk
 
Education and Experience:
  • High School diploma or GED (required)
  • Prior receptionist or secretarial experience (highly preferred but not required)
  • Prior hose and fitting industry experience (a plus)
